GLA Board Meeting Minutes – 4/10/26

Meeting Called to Order

The meeting was called to order by Mike Rankin at 4:00 PM on Zoom.

Secretary Report

  • Review of the previous meeting minutes was waived by consensus.

Treasury Report

  • Review of the Treasurer’s report was waived by consensus; no formal report was given this meeting.

Old Business

  • New Resident Welcome Basket Program:
    • Blair Honeyman reported no recent requests for welcome bags. The two informational letters that go in each bag are still needed; Mike Rankin will print 10 copies of each and deliver them to Blair Honeyman, with delivery planned for 7:00 AM on Saturday.
    • The board emphasized keeping the program active so the effort invested in launching it does not fade. Mike Rankin will send a reminder to the Lake Road reps to watch for new residents, using the existing MailChimp subgroup for the reps. Blair Honeyman has the supplies on hand and reps can contact Blair directly if they need bags.
    • New residents noted included a new household on Lake Road 1 (Walt Bickley’s road). The board will make an announcement at the upcoming meeting to encourage reps to keep the program going.
  • Spring Cleanup / “Burnett Spring Sweep”:
    • The cleanup originally planned for the following day was postponed to April 25 due to low sign-ups (roughly 8 thumbs-up online) and a poor weather forecast. Mike Rankin posted a cancellation on Facebook and will send an email and a Facebook post announcing the new date.
    • Extensive discussion on improving turnout. Ideas raised: organizing by Lake Road with reps mobilizing their neighbors, door flyers/hangers as personal invitations, and yard signs around the lake. The board recognized the short lead time (printed door hangers would take 6–8 business days) and agreed that, for this year, the simplest approach is to promote heavily at the Saturday meeting and hand out flyers and bagged gloves to interested residents there, letting motivated attendees take as many as they want to distribute to neighbors. Door-to-door distribution by reps may be revisited next year with more lead time.
    • Plan for the day: meet at 8:30 AM for breakfast, organize groups, and begin cleanup around 9:00 AM, rain or shine. Amy Heaven will coordinate breakfast (breakfast burritos, fruit, donuts, coffee, orange juice), submitting receipts for reimbursement rather than paying out of pocket. Mike Rankin will pick up donuts; Leslie Hind will order them. Amy Heaven is providing coffee.
    • Action items: Sandy Adams will put together a flyer and have it printed (likely via UPS or a template purchase). Mike Stappert will create a sign-up sheet and email a draft to Ryan Mueller and Mike Rankin for review; the sheet will be available at the back of the room and will capture name, the Lake Road a person lives on, interest in the sweep, and interest in becoming a GLA rep. Amy Heaven will coordinate breakfast. Leslie Hind volunteered to put out the event signs, with Sandy Adams assisting; signs will go out Monday. Amy Heaven also needs a volunteer to set out the signs for the Saturday meeting at the Johnson County community center.
  • Lake Road Rep Program:
    • Discussion of open or under-served roads. The board was cautious about reassigning reps without first speaking to them, to avoid ruffling feathers. Consensus was to keep the position a volunteer commitment and use the cleanup sign-up sheet to identify residents interested in helping or in becoming a rep, including residents willing to assist roads with many retirees or no active rep.

New Business

  • Communications:
    • Mike Rankin will send the updated cleanup date by email (the GLA sees roughly a 65–70% open rate on emails) and the board agreed to also post on Facebook to reach as many residents as possible. Mike Rankin will publish the meeting agenda on Facebook.
  • Yard Signs:
    • Blair Honeyman suggested placing dated signs around the lake to advertise the cleanup. Amy Heaven has metal signs with a generic “next Saturday” attachment (made by Greta) that can be reused for events; she will check whether one fits the trash pickup and place one where it can’t be missed (e.g., the dead end at 159th Street).

Special Events

  • Spring Cleanup / Trash Bash:
    • Rescheduled to April 25, 2026. Breakfast at 8:30 AM, cleanup begins around 9:00 AM, rain or shine. Breakfast burritos, fruit, donuts, coffee, and orange juice planned; flyers and bagged nitrile gloves to be handed out to encourage participation.
  • Spring Resident Meeting:
    • Scheduled for Saturday, April 18, at the Johnson County community center. The business portion will be kept short — minutes, Treasury report, and the Trash Bash — since the Task Force meeting is the main event. New merchandise (hats, beach bags, and embroidered apparel) will be displayed as residents arrive; Sandy Adams will set up with help from Mike Rankin. Leslie Hind’s spillway progress update and her lake health update (fish and water quality) will be worked in before the Task Force portion.
  • 4th of July Boat Parade:
    • Planning underway for this year’s parade, which coincides with the 250th anniversary and falls on a Saturday. Natalie Hill is leading the effort and will be introduced at the resident meeting to share excitement for the parade. The board will decide later whether to run the usual two categories (theme and patriotic) or lean fully into a patriotic 250th-anniversary theme.
